JOB DESCRIPTION 

We are looking for an enthusiastic & highly organised Executive Assistant to join our dynamic and hardworking team. The successful candidate will be tasked with supporting our Executive Team, as well as the wider Operational Team, with a variety of administrative and logistical assignments. Alongside this, the successful candidate will be supporting the People Team with general HR compliance, office coordination, as well as having the opportunity to work with the Finance Team with expenses, payroll and purchasing as required. This role will be reporting into our Chief of Staff. 

RESPONSIBILITIES 

  • Complex diary management for multiple senior employees. Proactive and efficient diary management and appointment scheduling will be required on a daily basis.
  • Organising and facilitating meetings, preparing agendas, distributing memos, taking minutes and following up on actions points.
  • HR Administration support to the People Team; updating Employee records, drafting letters, monitoring trackers, managing holiday requests etc.
  • Financial support as required with the finance team; making purchases, expense management, payroll support, cost tracking.
  • Filing and retrieving corporate records, documents and reports.
  • Arranging any necessary travel, accommodation, meeting rooms, and itineraries 
  • Ensuring our future office space is well managed so it is an inviting and collaborative place to work.
  • Creating and editing presentations.
  • Effective database management.
  • Information collation for monthly company newsletters.
  • Liaising with multiple external stakeholders on behalf of the company.
  • Assisting with ad-hoc projects as well as providing additional administrative support to additional teams where required

PERSON SPECIFICATION 

Essential Criteria:

  • 3 years+ experience working in an Executive/Team Assistant role within a fast-paced environment
  • Confident communication and interpersonal skills; excellent written and spoken English 
  • Impeccable attention to detail and a high level of emotional intelligence 
  • Highly organised with the ability to prioritise work appropriately and multi-task effectively 
  • Strong IT skills – comfortable using Microsoft Teams, Word, Excel, PowerPoint, etc. 
  • Ability to use your own initiative and work effectively on an individual basis as well as part of a team 
  • A methodical approach and a strong work ethic 
  • Ability to thrive and innovate in a fast-paced, varied and changing environment  
  • General HR process awareness and an awareness of different online filing platforms
  • Knowledge of payroll and accounts payable procedures 


    Desirable Criteria (these skills can be taught if new to the preferred candidate):

    • Experience of supporting multiple staff members remotely

      TERMS 

    • This is a permanent position being offered on a full-time basis.
    • You must have the right to work in the UK. A DBS check will be required at the start of the role. 
    • This will temporarily be a remote working position due to COVID-19. When it is safe to do so, we will be taking a flexible and hybrid approach to balancing working from both home and office. We would like someone who is able to be in the office at least one day a week when we go back to an office.
    • Normal working hours are typically between 8am-4pm, 9am-5pm or 10am-6pm, including an hour lunch break.
